Introducing Multi-Way Sync: Keep Up to 10 Calendars Aligned

Your work runs on Outlook. Your personal plans live in Google Calendar. Another calendar holds your side project. Keeping them aligned should not mean designing a separate sync relationship for every pair.

What is multi-way calendar sync?

Multi-way calendar sync keeps a group of calendars aligned by accepting event creates, edits, and deletions from any participating calendar. Calendar FreeSync supports 2-10 writable calendars per group across Google Calendar, Microsoft Outlook, and iCloud Calendar.

With two calendars, this is an editable two-way sync. With three or more, the same group model applies: you select the members rather than configuring every source-and-target pair. Changes synchronize automatically in the background.

Why one group is easier than managing calendar pairs

In a pair-by-pair setup, adding a calendar means thinking about more relationships: which calendars should send to it, which should receive from it, and which direction each change should travel. That configuration becomes harder to reason about as your schedule spreads across more calendars.

Multi-Way Sync changes the question from which pairs should I connect? to which calendars belong in this group? You manage the membership and preferences in one place. If your setup changes, you can edit the group instead of maintaining a separate configuration for every pair.

That is the improvement we want you to feel: fewer sync configurations to understand. This is a comparison of workflows, not a claim that every competing tool requires pairwise setup. When comparing calendar sync apps, look beyond the words "two-way" and check whether edits to synchronized copies flow back, how groups are configured, and how sync limits are counted.

An example: sync Google Calendar, Outlook, and iCloud together

Suppose you manage a personal Google calendar, a work Outlook calendar, and an iCloud calendar for your own appointments. You want the selected events visible and editable across all three, and you are comfortable sharing their details between those calendars.

1. Create one group containing those three writable calendars.
2. Add an appointment in Google Calendar. An eligible event in your sync window is copied to the other members.
3. Move the synchronized appointment in Outlook. That change can propagate back to Google and across to iCloud.
4. Keep using your calendar apps. Calendar FreeSync handles synchronization in the background.

You can also sync multiple Google calendars or sync two Outlook calendars. A group does not need a different provider for every member.

Multi-Way vs One-Way Sync: choose the right flow

Multi-Way Sync is useful when you want to manage the same events from several calendars. It is not automatically the right choice for every work-and-personal setup.

• Choose Multi-Way when all participating calendars should accept changes and you want core event details shared between them.
• Choose One-Way when one source must remain authoritative, or when you only want private busy blocks on a destination calendar.

Multi-Way shares titles, descriptions, locations, start and end times, and all-day status. It is not a busy-only privacy mode. Check who can see each calendar before grouping work, client, or personal events. Attendees, RSVP responses, and reminders are not part of the shared event payload.

You can use both modes on separate calendars. A calendar attached to a Multi-Way group cannot also belong to another group or an active/error One-Way sync. Our One-Way vs bidirectional calendar sync guide explains the tradeoffs in more detail.

How to set up Multi-Way Sync

1. Connect your calendars. In the dashboard, open Calendars and connect the Google, Microsoft, or iCloud accounts you want to use.
2. Open Syncs and select New Sync. Enter a name first, then choose Multi-Way. This mode requires eligible Pro access and an enabled rollout.
3. Select 2-10 calendars. Choose from the calendars listed under your connected accounts. Each must be readable and writable.
4. Choose your preferences. Select a 7-day, 14-day, or 30-day look-ahead window. Optionally add title keywords to limit matching events and enable Keep source titles to omit the default FreeSync title prefix.
5. Select Create Sync. Allow time for initial discovery and copying, then check the group status and your calendars.

The default look-ahead window is 14 days. This is not a full-history calendar migration. Title keywords match case-insensitively, and an event can match any supplied keyword. Changing filters does not automatically remove existing synchronized copies.

What to expect after setup

Updates are automatic, not instantaneous. Google Calendar and Microsoft Outlook notifications queue synchronization work. iCloud uses periodic polling. Provider response times, initial discovery, queued work, and retries affect when every calendar catches up.

Edits and deletions can travel in either direction. Deleting a synchronized event is not just hiding a local copy: the deletion can reach other members, including the original calendar. Competing changes are resolved automatically, so avoid editing the same event in several places before synchronization finishes.

Sync is not a scheduling lock. Keeping calendars aligned helps you see commitments across apps, but it does not prevent someone from creating overlapping meetings or guarantee that every provider is always available.
